Make your own rules
Rules that are yours alone, and run on your own expenses.
Open Settings, My rules and choose New rule. Tell PaperTotal how you file a merchant once, and it does it from then on.
Your rules run on your new expenses, top to bottom, ahead of the workspace's rules. Nobody else sees them. Deleting one leaves the expenses it already filled in as they are.
